What is BPO? A plain-English guide for growing businesses
Business process outsourcing explained without the jargon: what it covers, how it works day to day, what it costs and how to tell whether your business is ready for it.

On this page
Business process outsourcing, usually shortened to BPO, means asking a specialist company to run part of your operation for you. Instead of hiring, training and managing every person yourself, you agree what needs doing, how well it needs doing and how it will be measured, and a partner builds and runs the team.
It sounds simple, and at its best it is. But the word covers a lot of ground, from a three-person live chat team to a full overnight back office, so it helps to break it down.
What kind of work can be outsourced?
Almost any process that follows a repeatable pattern and can be done remotely. The most common areas are:
- Customer-facing work: customer service, call centre lines, live chat and email, social and WhatsApp messaging.
- Back-office work: data entry, order processing, claims and finance admin, document management and reporting.
- Technical work: Tier 1 and Tier 2 technical support, internal IT help desks and knowledge base writing.
- Growth work: sales development and appointment setting, renewals and win-back campaigns.
- Specialist work: data annotation for AI, model evaluation, content moderation and quality assurance.
A useful rule of thumb: if you could write down how the job is done well, it can probably be outsourced well.
How does it work day to day?
A good BPO engagement looks a lot like having your own team in another office. The partner recruits people against a profile you agree, trains them on your products, tools and tone of voice, and puts a team lead and quality analyst over them. Your team works inside your systems, such as your helpdesk, CRM or ERP, so nothing about the customer experience changes except that more work gets done.
You stay in control of the things that matter: what good looks like, which policies apply and how performance is reported. The partner takes care of hiring, payroll, equipment, office space, cover for sickness and leave, coaching and replacement if someone leaves.
Offshore, nearshore and onshore
BPO teams can sit in the same country as you (onshore), a nearby country (nearshore) or further away (offshore). Offshore locations such as Kenya, the Philippines and India are popular because they combine strong English skills with lower costs. The best choice depends on your customers, your time zones and the languages you need. We cover this in more detail in our guide to offshore, nearshore and onshore outsourcing.
How is BPO priced?
There are two common models:
| Model | How it works | Best for |
|---|---|---|
| Per agent per month | A fixed monthly fee for each full-time team member, including management, equipment and reporting | Ongoing work with steady volumes, such as customer service |
| Per task or per contact | A price for each ticket, record, call or label | Back-office, data and AI work where output is easy to count |
Watch for setup fees, minimum terms and extras charged on top. At Maxed BPO there are no setup fees, and pricing is either per agent per month or per task. Our pricing guide explains what should be included.
Is my business ready to outsource?
You are probably ready if one or more of these sound familiar:
- 1Work is piling up faster than you can hire for it.
- 2Local hiring is slow, expensive or keeps falling through.
- 3Customers expect answers outside your office hours.
- 4Senior people spend hours on tasks that could follow a checklist.
- 5You want to test a new market or channel without committing to a permanent team.
You do not need perfect documentation before you start. A good partner will review your existing macros, help articles, call recordings and procedures, and turn them into a playbook during onboarding.
What to look for in a partner
Price matters, but it is rarely the reason outsourcing succeeds or fails. Look at how a partner recruits, how they measure quality, how they protect your data and how quickly they report problems. Our checklist of questions to ask a BPO partner is a good place to start.
Frequently asked questions
How long does it take to set up an outsourced team?
For most customer service and back-office programmes, two to three weeks from contract to go-live, including a supervised pilot. Larger or multilingual programmes take longer.
Can I start small?
Yes. Many companies start with a pilot of three to five agents, measure the results and grow from there.
Will my customers know they are talking to an outsourced team?
They should not. The team uses your tools, your brand voice and your policies, and is trained until it sounds like your own people.
