How BPO pricing works: per agent, per contact and per task explained
A clear explanation of how outsourcing is priced, what should be included in the fee, the hidden costs to watch for and how to compare quotes fairly.

On this page
Outsourcing quotes can be hard to compare. One partner quotes per hour, another per agent, a third per ticket, and each includes different things. This guide explains the common models and how to read a quote.
The main pricing models
Per agent per month
You pay a fixed monthly fee for each full-time team member. This is the most common model for customer service, call centre work, technical support, dedicated teams and virtual assistants.
It is simple to budget, and it gives you people who learn your business. The fee should cover the agent, their share of team leadership and quality assurance, equipment, internet, power backup and reporting.
Per contact or per task
You pay for each unit of work: a ticket, a call, a record entered, an invoice processed or a data label. This suits back-office, data and AI work where output is easy to count and quality can be checked.
It ties cost directly to volume, which is useful when volumes vary. You will usually agree accuracy targets alongside the price.
Per hour
Some partners charge by the hour, which is common for project-based or highly variable work. Make sure you understand how productive hours are counted.
Outcome-linked pricing
For some work, such as debt collection, part of the fee can be linked to results, for example amounts collected. This aligns incentives but needs clear rules on what counts.
What should be included
When you compare quotes, check whether each of these is in the price or charged separately:
- Recruitment and training, including time before go-live
- Team leads and supervisors
- Quality assurance analysts and scoring
- Equipment, software licences and secure workstations
- Office space, internet and backup power
- Cover for sickness and leave
- Replacement of leavers
- Weekly and monthly reporting
- Account management
Hidden costs to watch for
- Setup fees charged before any work begins. At Maxed BPO there are none.
- Minimum volumes that you pay for whether or not you use them.
- Long notice periods that make it hard to scale down.
- Management time on your side if the partner does not supply enough supervision.
- Rework caused by poor quality, which is the most expensive cost of all.
How to compare quotes fairly
- 1Convert every quote into a cost per productive full-time person, or a cost per unit of output.
- 2Add anything not included in one quote but included in another.
- 3Ask each partner for the quality and turnaround targets they will commit to in writing.
- 4Compare total cost of ownership against your current in-house cost, including salaries, benefits, office space, equipment, recruitment and turnover.
A note on the cheapest quote
The lowest price per agent rarely produces the lowest total cost. If a cheaper team takes longer to train, needs more of your management time or makes more mistakes, the savings disappear. Compare on value: price, quality targets, reporting and how fast problems are fixed.
