What to delegate first to a virtual assistant

The tasks founders and managers should hand to a virtual assistant first, how to set them up in the first two weeks and how to make the arrangement last.

A good virtual assistant can give a busy founder or manager many hours back every week. But the first few weeks decide whether the arrangement sticks. The key is starting with the right tasks and setting things up properly.

Start with tasks that are frequent and clear

The best first tasks happen often, follow a pattern and are easy to check:

  1. 1Inbox management: sorting, labelling, drafting replies and flagging what needs you.
  2. 2Calendar and scheduling: booking meetings, handling reschedules and protecting focus time.
  3. 3Research: prospect lists, supplier comparisons, background on people you are meeting.
  4. 4Travel planning: flights, hotels and itineraries, within your preferences.
  5. 5CRM and data updates: logging calls, updating records and cleaning lists.
  6. 6Documents and slides: formatting, first drafts and tidying presentations.

Keep for later

Hold back tasks that need deep context or carry high risk until trust is built, such as negotiating with key clients, approving payments or speaking for you on sensitive matters.

The first two weeks

  1. 1Day one: share access to the tools they need, with the minimum permissions.
  2. 2Week one: they learn your inbox preferences, meetings you protect and your travel habits. Review their work daily.
  3. 3Week two: they take on the routine tasks fully, and you review weekly.

Write down preferences as you go: how you like emails worded, which meetings can move, which people always get through.

Communicate in one place

Agree one channel for requests, such as a shared task board or a messaging thread, and a short daily summary of what was done. This avoids requests getting lost in email.

Freelancer or managed assistant?

A freelancer can work well, but if they get sick, take leave or move on, you start again. A managed virtual assistant is an employee with a supervisor, cover during leave and sickness, and a replacement if the match does not work. They also work from a secure office on managed devices.

Protect confidentiality

Share access only to what they need, use a password manager where possible, and make sure there is an NDA in place.

Frequently asked questions

Can I have a part-time assistant?

Yes. Assistants can be full-time or part-time, working your hours or overnight.

How quickly can an assistant start?

Usually within two weeks.
