Back-office accuracy: double checks, sampling and root-cause fixes
How outsourced back-office teams keep data entry, orders, claims and finance admin accurate, from documenting procedures to second checks and weekly error reporting.

On this page
Back-office work rarely gets attention until something goes wrong: an invoice paid twice, an order shipped to the wrong address, a claim stuck for weeks. Small errors become expensive quickly, so accuracy has to be designed in from the start.
Document the process first
Before any work moves, the process is mapped and written down: inputs, steps, decisions, systems, exceptions and outputs. This often reveals inconsistencies that existed in-house, and fixing them is one of the hidden benefits of outsourcing.
Give every task an owner and a target
Each task gets a named owner, a turnaround time and an accuracy target. For data work, accuracy targets are often very high, such as 99.5%, and agreed per task.
Check the work
| Check | When to use it |
|---|---|
| Sampled second check | Routine, lower-risk work |
| Full double check | Anything involving money, or high-risk records |
| Automated validation | Formats, totals, duplicates and required fields |
A second person samples completed work against the procedure. Anything that moves money gets a full check by a second person before it is final.
Fix root causes, not just errors
When an error is found, it is corrected and then traced back. Was the procedure unclear? Was the source document poor? Was a system field confusing? The procedure is updated so the same error does not happen again.
Run a parallel period
During hand-over, your team and the outsourced team process the same work side by side and compare results. Once accuracy matches or beats the in-house baseline, the work moves across fully.
Use automation where it helps
Templates, macros and automation bots can remove repetitive keying. People then focus on exceptions and judgement calls. Our article on automation exception handling explains how people and bots work together.
Report weekly
A weekly report should show volumes, turnaround, accuracy rates by task, backlog and the top error types. Problems should be visible early, not discovered at month-end.
Security for system access
Back-office teams usually need access to finance, order or claims systems. Access should be role-based and logged, through secure remote sessions, with downloads, USB ports and personal devices blocked.
